Paid Media - Operations Project Manager (Contracted)

Position Overview:

We're looking for a contracted project manager to be the operational backbone of our paid media program across Meta and YouTube. You won't be writing the strategy or pulling levers in Ads Manager. But here's the thing: nothing ships without you.

You'll own the full journey from creative brief to live campaign - keeping our internal team, external agencies, and creative partners moving in sync so our Sr. Paid Acquisition Manager can stay locked in on performance, not chasing down assets or hunting for status updates.

This is a role for someone who treats operational excellence like a craft. We run hundreds of campaigns with meaningful monthly spend behind them, and we need a project manager who communicates with precision, loves building systems from the ground up, and is ready to partner closely with our Sr. Paid Acquisition Manager to design the project management infrastructure that will carry this program as it grows.

This position is a fully remote 1099 contract for 6 months (with the potential to extend), reporting to the Sr. Paid Acquisition Manager. The hourly rate is $35–$50/hour dependent on experience, and availability during business hours in ET is required.

Duties and Responsibilities:

  • Partner with the Sr. Paid Acquisition Manager to design and implement a robust, scalable project management system, including Asana architecture, intake processes, status reporting, and team rituals that hold up as campaign volume grows
  • Own the end-to-end campaign workflow in Asana, from creative brief intake through asset delivery, QA, trafficking handoff, and launch confirmation, with clear deadlines and accountable owners at every stage
  • Coordinate across internal creative teams, external agencies, and freelance contributors via Slack and email, removing blockers before they become delays and escalating thoughtfully when timelines slip
  • Manage the creative asset pipeline in Dropbox and Google Drive, including version control, naming conventions, file structure, and ensuring final approved assets are correctly handed off to the media buyer
  • Build and maintain campaign trackers, launch calendars, and status dashboards so the Sr. Paid Acquisition Manager and leadership always know what’s shipping this week, what’s at risk, and what’s stuck
  • Run weekly campaign stand-ups and async status updates, surfacing decisions that need to be made and keeping the team out of unnecessary meetings
  • Enforce QA checklists pre-launch (creative specs, copy approvals, tracking parameters, audience configuration) so we catch errors before they spend budget, not after
  • Develop and maintain SOPs for core paid ads operations, including creative brief intake, asset review, campaign QA, and launch checklists, so the team has a single source of truth that new contributors and agencies can plug into without ramp-up
  • Identify opportunities to streamline operational work using AI, from drafting status updates and brief recaps to building lightweight agents that automate repetitive coordination tasks, and pilot solutions in partnership with the Sr. Paid Acquisition Manager
  • Continuously improve our operational systems, documenting workflows and proposing process changes when you spot recurring friction

Success Metrics: First 90 Days

  • Days 1–30: Fully documented the current campaign workflow end-to-end, identified the top 3 sources of delay or friction, and partnered with the Sr. Paid Acquisition Manager to design a revised project management system adopted by the team
  • Days 31–60: Reduced average creative-brief-to-launch cycle time by a measurable percentage (baseline established in Month 1), with zero campaigns launched containing QA-preventable errors
  • Days 61–90: Sr. Paid Acquisition Manager reports spending meaningfully less time on coordination and asset-chasing, with weekly status reporting running cleanly without their involvement
  • Ongoing: Internal and external stakeholders rate cross-team coordination as significantly improved in a 90-day pulse check

Required Qualifications:

  • 3–5 years of project management experience supporting marketing, creative, or growth teams
  • Excellent written and verbal communication skills; you can write a creative brief recap, a status update, or a difficult timeline conversation in a way that busy stakeholders actually engage with
  • Proven fluency in Asana (or equivalent like Monday, ClickUp, Jira) as a primary work management tool, including building project templates, custom fields, automations, and reporting views from scratch
  • Comfortable operating across Slack, Google Drive, and Dropbox as daily workspaces
  • Demonstrated ability to manage 20+ concurrent workstreams without dropping balls, with specific examples you can walk through
  • Track record of designing or significantly improving a project management system, not just operating inside one someone else built
  • Self-directed and comfortable in a fully remote environment with asynchronous decision-making

Preferred Qualifications:

  • Background in paid media, performance marketing, or growth operations is a strong plus
  • Working knowledge of how paid social and paid video campaigns are structured on Meta and YouTube, including assets, specs, approval cycles, and launch sequence
  • Direct experience in the online education, course creator, coaching, or info-product space
  • Familiarity with creative production cycles for short-form video (YouTube Shorts, Reels) and direct-response static ads
  • Experience working with external creative agencies or fractional creative teams
  • Understanding of UTM structures, conversion tracking, and why naming conventions matter for reporting
  • Background supporting evergreen funnels or live launch campaigns
  • Prior 1099 contracting experience; you know how to onboard yourself quickly into someone else’s systems
