#583: How I Plan My Podcast Topics: A Step-by-Step Batching Process

Use this 5-step process so you never run out of podcast topic ideas again.

I can hardly believe it myself, but this is the 583rd episode of Online Marketing Made Easy.

That means there have been 583 different episode topics brainstormed, over 50 different pitch meetings with my team, and hundreds of hours worth of recording sessions in my home studio. 

I know it sounds like a lot – and believe me, there are a lot of moving pieces when it comes to producing a podcast episode. But I’m happy to report that my process — from generating topic ideas to the launch of each episode, runs like a well-oiled machine. 

It all starts with what I call a pitch meeting, where my team and I plan out our topics for the upcoming batch of episodes. And by scheduling our topics and recording in advance, I always have valuable content available to release to my audience.

In this episode, I’m going to walk you through the 5 step process I use to plan out my podcast episode content, from how we prep for the pitch meeting, to what we do post-meeting to get the show on the road.

  • [06:22] Systems and processes make a business easier. Batching my podcast content allows me to put out more content in a stress-free way.
  • [07:09] I'm going to walk through how we prepare for our podcast pitch meeting and what we do after the meeting.
  • [09:03] Step 1: Get prepared for the podcast pitch meeting. We get the downloads, date for scripts, and recording dates on the calendar in advance.
  • [12:20] I provide downloads. We allow two weeks to write the outlines, review and finalize them. I record the week following the finalizing.
  • [14:31] Once we have all the dates in the calendar, we prepare a pitch document. 
  • [16:00] We have the batch number at the top of the pitch document, along with go live dates, promos and announcements.
  • [19:53] The main pitches are broken down into shorties, long episodes, and guest episodes. My team provides working titles and bullet points and questions. 
  • [23:59] Step 2: Kick off the meeting. We touch base on any promos we'll have. We add an asterisk in the grid next to the date that the promo needs to be filled.
  • [26:22] Step 3: Review topics. We start with the shorty episodes that are 20 minutes or less. Then we move on to the long episodes and guest episodes.
  • [32:43] Long episodes are usually a step-by-step process, and the guest episodes are usually based on the guest's expertise.
  • [33:17] Step 4: Arrange the episodes in the schedule grid. We map everything out and make sure it's where we want it to be.
  • [35:31] Step 5: Download time. I look at the topics, and then I go to the voice memo on my phone and just talk. 
  • [40:26] The downloads are used to create the outlines, and then the script writing process is kicked off.
  • [40:54] You need to create a system for your weekly content.
  • [42:31] Action items: 1. Prepare for your meeting. 2. Kick off and review dates and announcements. 3. Review all of your topic ideas. 4. Arrange topics in the schedule. 5. Download so the team can help with the outlines.
